File list

The widget provides quick access to company files. It can display files from a specific folder or documents filtered by parameters — a file name, author, created date, etc.  

You can define how users interact with files in the widget:

  • Only view the files in the list.
  • Perform the same actions with files as they would in the Files workspace, based on their access permissions. This includes moving files, adding new versions, creating folders, and more.

You can also restrict the types of objects users can add using the widget. For example, you can forbid users to create web documents and app items.

The widget is placed on the app and task forms, as well as on pages. To set it up, drag it from the right panel of the interface designer to the modeling canvas, or click +Widget. Configure the settings in the pop-up.

Main tab

On this tab, you can determine which files users can view in the widget. You can display all files in a specific folder or set up a filter so that only files that match the specified parameters are available in the widget. To do this, follow these steps:

  1. Select the display type: Folder or Filter.
  2. Specify which files will be visible in the widget:
  • For folders, define the folder selection method and specify a specific folder value:
    • By name. In the Folder* field, select the folder name.
    • By ID. In the Folder* field, enter the folder ID. To get it, navigate to the folder and copy a value of the form 00000000-0000-0000-0000-0000-000000000000 in the browser address bar. If you are configuring an app form, the option can be linked to a context variable that stores the ID of the required folder. To do this, click clip0269.
    • Limit root directory. Check the box to hide the path to the specified folder above the file list. Then the user will not be able to navigate to the parent folder and other folders in the Files workspace.
  • For filters, specify the conditions that determine which files are shown in the widget. To do this, click the filter icon and set additional parameters.

  1. Determine what actions users can perform with folders and files in the widget:
  • View only. Users can view the list of files and open them in view mode. Other file actions will not be available in the widget, even if the user has the appropriate permissions.
  • Edit. Users can edit and create objects according to the configured access permissions to folders and files.
  1. You can limit the actions available to the user in the Create button menu. To do this, enable the Configure “Create” button restrictions option. This option is available if Edit is selected in the access parameters. Then, select the options: restrict the creation of an app item, web document, folder, or file.

Events and System tabs

These tabs set system settings that are the same for all widgets. They allow you to configure a widget’s visibility and access to its data, define what happens, when the user moves or hovers the pointer over the widget, etc. To learn more, see System widget settings.

To complete the settings, click Save. To make the changes available to users, click Save and Publish in the top toolbar.

Use case for the File List widget

On the Account department page, the File List widget is used twice:

  • The first widget displays files based on a configured filter, which specifies the file name and creation date.
  • The second widget displays documents from the My Files folder. Users can add new files and folders using the Create button.

If the user opens a file in view mode, they can scroll through the files displayed in the widget from the current folder using the cursor keys on the keyboard:

  • Right or down arrows to scroll forward.
  • Left or up arrows to go back.
