In the Marketing workspace settings, you can:
- Set rules for determining subscribers for newsletters.
- Restrict permissions for configuring email templates.
The same settings are available in the Administration > Marketing workspace.

Rules for determining subscribers for newsletters
Subscribers are customers from the Contacts app who have agreed to receive newsletters. A contact becomes a subscriber when their page includes an email address and selected preference categories, i.e., topics the customer wants to receive newsletters about. From the general subscriber database in the Marketing workspace, you can create segments of subscriber emails to target with newsletters.
By default:
- If multiple contacts share the same email address, the most recently created contact is added to the general database on the Subscribers page. Preference categories from the other contacts are then added to that subscriber’s data.
- To create segments of subscriber emails using filters, the system uses fields from the Contacts app, as well as the Contacts system fields from the Leads, Deals, and Companies apps.
In the Marketing workspace settings, you can:
- Change how subscribers are determined. Instead, the system will select the contact with the most complete data from among those sharing the same email address. Preference categories from the other contacts will still be preserved in the subscriber’s data.
- Configure the list of apps that store customer data. Their fields will then be available for creating subscriber segments using filters.
To do this:
- To the right of the Marketing workspace name, click the gear icon and select Settings.
- On the opened page, change the settings:

- Contact Settings. Select the app fields that can be used to create a segment of subscriber emails. By default, the system apps of the CRM workspace and all their fields referring to the Contacts app are displayed. Also, the Contacts app is always available to create a selection of all existing contacts.

When creating a segment, the Marketing workspace settings apply only to the Filter option and do not apply to selecting subscribers using an EQL query.

You can add contact-related fields from any app. To do this, click +Select App Field and check the required fields in the opened window.

For example, if you have the Lawyer field in the Companies app referring to the Contacts app, you can check this field. In this case, customers from the Contacts and Lawyer fields will be included when creating the segment of subscriber emails by company.
- Set Up Subscribers. Define which contact will become a subscriber if the same email is specified in several contacts:
- Use last created item. The subscriber list will include the contact that was created later than the others.
- Use item with the most data. The system will check which contact’s page has more fields filled in. If the number of fields is the same, the subscriber will be the one who has more characters in the Name field.
- Save the settings.
Permissions for configuring email templates
By default, all users of the Marketing solution have access to the Email Templates app. Any employee can add an email template for newsletters and configure it in the email editor.
You can:
- Set permissions for users to view, create, and edit items in the Email Templates app.
- Differentiate access to the email editor for different employees.
For example, access to the app is granted to the company’s marketers and copywriters. They have permissions to create and edit templates.
In this case, the marketing group is responsible for configuring the email’s appearance. They need full access to the editor, i.e., the ability to place elements in the template, apply styles, and add blocks for text and images. The copywriter group is responsible for reviewing the newsletter text. For them, only text and image editing should be available in the editor, so they cannot change the template structure.
To restrict access to template configuration:
- Specify who can view, add, and edit templates. To do this, open the Email Templates app in the Marketing workspace, click the gear icon next to its name, and select Access Settings.
On the page that opens, you can select users, groups, and organizational chart items and assign available actions to them. For more information, see Access to app data.
- Save the access settings.
- For employees who have been granted permissions to create and edit items in the Email Templates app, define their access level to the email editor.
To do this, click the gear icon next to the Email Templates app name and select Additional Editing Settings. Add the required users, groups, and organizational chart items to the following fields:

- Full template editing. Employees who can configure the template using blocks, modify styles, and component settings. They also have access to the template’s HTML code and can import templates from code.
- Editing text blocks in a ready-made HTML template. Users who can only change text within blocks configured by an employee with full editor access.
- Editing text blocks and replacing images in a ready-made HTML template. Users who can edit text and replace images within configured blocks.
Please note that if users with permission to create or edit items in the Email Templates app are not granted access to the email editor, they will not be able to configure templates. In the editor, they will only be able to change template names.
- Save the additional settings.
