Access to process tasks and instances

In BRIX, access to process tasks and instances depends on the user’s role. System administrators always have full access to these system objects.

This article describes:

Access rights for different user roles: task creator, assignee, approver, participant, and manager.
The actions available to users with different roles in a process instance: viewing data, accessing tasks, and terminating an instance.

Access to tasks

Access to a task means being able to view it on the task page and perform various actions, such as reassigning it, editing its details, changing its due dates, updating its completion percentage, and more.

The level of access and the available actions depend on the user’s role and their involvement in the task.

User role	Where to open the task	Available task actions
Task creator	Tasks workspace > Assigned by Me	Edit due dates, description, and files. Change the list of participants. Change the priority and reassign the task.
Executor, Approver	Tasks workspace > My Tasks app item page	Change the list of participants. Change the priority and reassign the task. Update the completion percentage and schedule the task in the calendar.
Manager of the task creator or executor	Tasks workspace > My Department	Change the priority and reassign the task.
Participant	Tasks workspace > Assisting	View the task only.
Other users	The task’s associated activity stream when the user is mentioned. The app item page, if app view permissions are granted.	View the task only.

Access to process instances

Access to a process instance means being able to open its page and view its details, including the initiator, start date, version, current stage on the process map, and list of related tasks and processes.

System administrators can view all information in the process instance page and perform all available actions, including terminating the process, updating it to the latest process version, archiving it, or deleting it. For more information, see Instance summary page.

Regular users can open a process instance page only through a direct link. Depending on their role in the process, they may be able to view the page, follow links to process tasks and child or parent process instances, and terminate the process.
