It is important to organize the workflow in such a way that work is not interrupted when an employee is absent from the workplace, for example, on vacation, in training, or on a business trip. For this purpose, the system provides absence notifications and a substitution mechanism.
Let’s say your accountant is planning to take a vacation. They start the Leave request process. Within a process, the administrator can select a substitution type:
- Inform users about accountant’s absence.
- Assign a substitute. They will process requests that users address to the absent employee.
Absence and substitutions in the interface
In the Company workspace on the Absence Schedule tab, you can find the list of all employees who are absent for the current day. There you can also see who you are substituting at the moment.
In the interface, a notification appears next to the name of the absent employee, indicating the period of absence and the user who is specified as the substitute. You can see the absence notification when creating and viewing a task, event, in the My Department workspace, in chats and group chats, etc.
If the absent user belongs to a group chat and the substitute user does not, other users can add the substitute user to that chat by clicking on the three dots icon next to the absent user’s name.
