Search in app

Search helps you find a specific item within an app. Several search methods are available:

  • Quick search. Search for an item by name or by String fields.
  • Search by parameters. Search by system and custom app properties, as well as tasks associated with the item.
  • EQL search. Build queries using EQL365 (BRIX Query Language) to configure complex conditions with logical operators.
  • Search by conditions. Build multi-condition queries directly in the interface without using EQL365.

To reuse search parameter or condition settings, you can save them as a filter.

Quick search

In the search bar on an app page, you can search for items:

  • By name. Always available.
  • By String fields, provided the Quick Search option was enabled for them during app configuration.

To start searching, open the app page and enter your query in the search bar at the top of the window. You can enter the full item name, a text value, or a case-insensitive part of it.

Press Enter. The page will display app items matching the entered value in their names.

The search bar displays the total number of items found. In app settings, a system administrator can choose how data is shown in the search bar:

  • Exact number of matching items.
  • Approximate number of items with a ~ sign.
  • Hidden item count to speed up search results loading. In this case, the button-number-of-items icon becomes available. Click it to view the exact number of items.

To clear the search, click the cross in the right corner of the search bar or press Esc.

Search by parameters

For precise results, use search by parameters to find records with specific values in target fields. Specify multiple parameters to narrow down the results as much as possible.

This type of search is also available when filling out fields on app item creation or editing forms. For details, see Search by parameters on app item pages.

To switch to search by parameters:

  1. On the app page, click the filter icon in the search bar.
  2. In the window that opens, on the By Parameters tab, search by main and system app fields, as well as tasks associated with the item. You can also build an EQL365 query with complex conditions to obtain exact results:

search-apps-03

  • Main Fields. Custom app properties with the Search and Sort by Field option enabled during app form setup. Note that App type fields appear on the search form only for users with access permissions to that app. The Status field is also displayed in the main field group if statuses are configured in the app. Items can also be sorted by final, hidden statuses. For convenience, status search results are displayed on the page as a table.
  • EQL search. Compose a query in EQL365 (BRIX Query Language) and specify complex data selection criteria linked by logical operators. For example, find all companies that placed orders above a certain amount with addresses in Madrid. For details, see Search queries in EQL365 language.
  • Tasks. Search is performed across tasks associated with app items assigned during a business process or via the Associated Tasks widget. For details, see Task search and filters. You can specify the following parameters:
    • Executors. Specify users responsible for tasks assigned to app items.
    • Overdue. Displays app items linked to overdue tasks.
    • No tasks. Select this option to display app items with no assigned tasks.
  • System fields. Default fields added to every app:
    • Author. The user who created the app item.
    • Edited by. The user who last modified the app item.
    • Created on. Item creation date or date range. The start of a calendar day is 00:00:00. To find items created on a single day, such as January 1, 2025, specify the range from 01/01/25 to 01/02/25.
    • Last update. Item modification date or date range. The start of a calendar day is 00:00:00.
  1. Fill in the fields and click Search.

To reset parameters and view all available items, click the cross in the search bar.

Specifics of searching by app fields

Parameter search provides additional capabilities for various field types:

  1. App fields. Select multiple values. The results display all app items that contain at least one of the selected values in the specified field. For example, on the Companies app page, select multiple values in the Contacts field. The results display all companies with at least one matching contact.
  2. Users fields. Search for a user by typing their name, email address, or username in the search bar. For a Users (Multiple) field, click the magnifying glass icon and select the required users. Results display items referencing one or all selected users.

User names can appear with a last name, or with a last and middle name. Display settings are configured company-wide by a system administrator.

You can also use parameter search by clicking the magnifying glass icon, for instance, to search for a user by position in the organizational chart, group, etc.

Additionally, the Current user option inserts your name into the selected field. Use this to find deals where you are the owner or contracts where you are an approver.

  1. Is empty option. Available for Users and App fields. Select it to display items with unpopulated fields, such as orders without assigned employees or deals without contacts.
  2. Number fields. Search within a range. To find all items with a value of 2, enter the range [2;2]. If you enter a single number like 2 in the first cell, the search searches the range [2;infinity].

Search by conditions

Search by conditions allows you to build complex search queries by selecting fields and operators from a list and configuring relationships between conditions directly in the interface. Using this method, you can:

  • Link multiple conditions using AND or OR operators to find items matching all conditions simultaneously or at least one of them.
  • Compare field values within an item, such as finding contracts where the actual delivery date is later than planned.

To switch to search by conditions:

  1. On the app page, click the filter icon in the search bar and open the By Conditions tab.
  2. In the bottom-left corner of the window, click Add Condition and fill in the columns:

search-apps-05

  • Field. Select an app property to configure the condition. Properties with the Search and Sort by Field option enabled during app form setup are available. This can be:
    • A property from the context of the current app where search is performed.
    • A nested property from an associated app. You can select a field from the context of another app linked to the current one. Only first-level nested properties are used. You can select fields from an associated app, but not from apps linked to that associated app.

For example, the Orders app links to the Contacts app, which has a Region field. You can search for all orders from clients in a specific region. In search conditions on the Orders app page, select the nested property Contact.Region.

This option is available if a system administrator enabled the subfieldFiltration feature flag. For details, see Modify BRIX parameters. For SaaS deployments, contact your BRIX rep to enable the feature flag.

Note that searching with nested property conditions may take additional time.

  • Operation. Set a comparison operator for condition evaluation. Available operators depend on the field type. Dates, numbers, and amounts can be compared, while App fields reference specific items. Any field type can be checked for value presence.
  • Field value. Enter a specific value or select another app property to compare two fields on the item form. For example, check whether one date is later than another.

For certain data types, you can specify multiple values in a column:

    • For App (Many), Email (Several), Account (Several), and Role fields, only items containing all specified values are found. For example, selecting multiple products in an App field during deal search returns only deals containing all selected products.
    • For App (One) and Users (Many) fields, all items containing at least one of the specified values are found. For example, find all deals where the Executors field contains any of the selected employees.
  • Operator. Link conditions using a logical operator:
    • AND. Evaluation succeeds when both conditions are met.
    • OR. Evaluation succeeds when at least one condition is met.
  1. Add all required conditions. Note that conditions are evaluated in the order they are listed.
  2. After adding all conditions, click Search.

Search deleted items

To view items hidden from the app page upon deletion, open the advanced search window and click the Deleted filter in the upper-right corner.

search-apps-06

You can perform the following actions with a deleted item on its page if buttons were added by a system administrator:

  • Restore. Return the item to the app page and resume work.
  • Archive. Move the item to the archive manually if it does not meet configured automatic app item archiving conditions. This hides it from the interface.
  • Delete permanently. Permanently remove the item from the system with no option to restore. This option becomes available once a corresponding feature flag is enabled. To enable it, contact BRIX customer support.
