The Files workspace allows you to organize and store both company and employee files. Here, you can structure a working environment for viewing and sharing documents or app items using familiar file-storage features.
The workspace supports the following actions:
- Create folders. Build a hierarchical file structure. Various folder actions are available, such as setting up access permissions, moving, renaming, generating folder links, and more.
- Upload folders with files. Drag and drop folders containing files directly from your computer. Any subfolders will also be uploaded into the system.
- Upload files. Save files from your computer or other system workspaces. The allowed file formats are configured by system administrators.
- Upload files as drafts. Save a file as a draft to edit it directly within the system interface. Changes are saved directly to the file without creating new versions. You can also send a draft for approval or information before making it official by setting it as the current version.
- Add links to app items. Keep links to items from any system app inside your folders. This lets you open an item form instantly without navigating away from the workspace. Links can be moved between folders just like regular files.
- Create web documents. Customize and organize the workspace inside your folders. You can create a .web365 file filled with any content, and then display the data on the Files workspace page, inside a specific folder. For example, you can add instructions for users on how to fill the folder right above the file list.
For ease of use, you can set up access to files and folders.
Uploaded files, images, and .mp4 video files can be opened in view mode, and audio can be played. Additionally, files can be edited, copied, moved, added to favorites, and other available actions can be performed.
The workspace supports file versioning as well as sending files for approval or information.
